The Club Constitution requires the AGM to elect by simple majority 4 club officers from the fully paid up membership : Commodore, Vice Commodore, Treasurer, Secretary.
The Executive committee consists of the four club officers plus up to four additional members, again all elected by a majority vote at the AGM. The AGM is quorate if 20% of the members are present. A full member may give his vote by proxy to another full member.
Normally the Vice Commodore role is split in to VC (Training) and VC (Regatta). The positions are assigned as follows :
| Commodore | Oversees running of the club, chairs meetings, acts as arbiter in case of disputes |
| Vice Commodore (Regatta) | Leads the team planning and organizing the annual regatta |
| Vice Commodore (Training) | Organises and runs training courses within the club |
| Treasurer | Looks after membership fees, controls club spending, produces accounts |
| Secretary | Writes publicity and newsletters for the club, including weekly emails and monthly articles in Fragrant Harbour. Prepares the events calendar. |
| Race Officer | Runs club racing, liaises with Awah, arranges inter-club racing |
| Beach Master | Keeps track of who’s boat is where on the beach, maintains club equipment (trolleys, hoses etc) |
| Social Secretary | Stocks the club house with drinks, arranges catering when necessary, arranges club outings (picnics, camping etc) |
The committee meets about every 4-6 weeks for a couple of hours to discuss upcoming events and review the running of the club.
Besides the full committee we also need volunteers to help out on an as needed basis. In particular, this year we would like to try to break up some of the social secretary’s duties to a sub-committee, giving responsibility for each event to different people. This should spread the load a little more.
